Usage Summary (Platform Manager Access)
A leader’s guide to understanding Behavior Advantage usage and implementation across your organization.
The Usage Summary gives district and organization leaders a high-level view of how Behavior Advantage is being used across their organization. It can help leaders understand how many staff have access to the platform and have used it recently, which Behavior Supports are being created and actively implemented, whether student data is being collected, and how implementation varies across schools.
Select a Start Date and End Date, then click Generate to view activity for the selected reporting period.
Common reporting periods might include:
- School year to date
- Current semester or quarter
- Previous month
- A custom reporting period
Most metrics reflect the selected date range. Metrics that use a different timeframe are noted below.
The Usage Summary is designed to help leaders identify patterns, strengths, and opportunities for follow-up. It can help answer questions such as:
- How broadly is Behavior Advantage being used?
- Which Behavior Supports are being used most often?
- How many supports are currently active versus completed?
- Are teams collecting data on active supports?
- How consistently is data being collected?
- How does implementation vary across schools?
- Where might additional training, coaching, or implementation support be helpful?
For information about individual staff access and activity, refer to the Staff List.
Who can access the Usage Summary?
Staff with Organization-wide Student Access and Platform Manager Access can view the Usage Summary for their organization.
What is excluded?
To keep the summary focused on current implementation, the following are excluded:
- Test and demo students
- Archived students
- Behavior Emergency Reports (BERs) and Special Incident Reports (SIRs)
User Activity: What this section helps you understand
How broadly and recently staff are using Behavior Advantage.
|
Metric |
What it tells you |
|
Active user accounts |
The number of staff accounts that are currently enabled and have access to Behavior Advantage. This provides context for interpreting overall platform use. |
|
Users active in the last 30 days |
The number of enabled users who have completed an activity in Behavior Advantage during the past 30 days. This is a rolling 30-day measure based on today’s date and is not tied to the selected reporting period. Comparing this number with Active user accounts can provide a helpful indication of overall staff adoption. |
|
Most recent user activity |
The most recent date and time that a staff member completed an activity in Behavior Advantage. This provides a quick indication of how recently the platform has been used. |
|
PDFs generated from Start to End Date |
The number of reports or point sheets generated as PDFs during the selected reporting period. This can provide additional context about how information in Behavior Advantage is being used for documentation or sharing. |
|
Graphs generated from Start to End Date |
The number of graphs generated during the selected reporting period. Because graphs are commonly used to review student progress, this can provide one indication of whether teams are reviewing the data they collect. |
Organization-Wide Supports: What this section helps you understand
Which Behavior Supports are being used across your organization and their current implementation status.
The Organization Wide Supports Created from Start to End Date table summarizes Behavior Supports created during the selected reporting period, including:
- FBA with BIP
- Simple BIP
- CICO
For each support type, the summary displays:
# Created – The total number of supports created during the selected reporting period.
# Active – The number of those supports that are currently active.
# Completed – The number of those supports that have been completed.
A Total row provides an organization-wide summary across support types.
Looking at these measures together can provide more context than the number created alone. For example, leaders can see whether supports created during the reporting period are still being actively implemented or have since been completed.
Active Data Tools: What this section helps you understand
Whether teams are actively collecting student data using CICO or Frequency and Duration tools.
Active CICO with Data shows the number of active CICO supports with student data recorded.
Active Frequency or Duration Data shows the number of active Frequency or Duration data tools being used to collect student data.
These measures can help leaders look beyond whether supports have been created and consider whether teams are actively collecting information to monitor student progress.
Data Collection Fidelity: What this section helps you understand
How consistently teams are collecting student data during the selected reporting period.
|
Metric |
What it tells you |
|
Students with data collected |
The number of students for whom data was collected during the selected reporting period. |
|
Students with supports but no data |
The number of students with supports for whom no data was collected during the selected reporting period. This can help identify potential gaps between creating supports and collecting data to monitor progress. |
|
Total days of data (all students) |
The combined number of days with recorded data across all students during the reporting period. |
|
Median days of data per student |
The midpoint of the number of days of data collected per student. Half of students with data have more days of data and half have fewer. This provides a useful picture of typical data collection without being overly influenced by a small number of students with very high data counts. |
|
Most days of data (single student) |
The highest number of days of data collected for any one student. |
|
Fewest days of data (single student with data) |
The lowest number of days of data collected for a student who has at least one day of data. |
Why look at the median?
The Median days of data per student can be especially useful when considering data collection consistency. A high total number of data days may be driven by only a few students with frequent data collection. The median provides additional context by showing what data collection looks like for a more typical student in the organization.
School Summary: What this section helps you understand
How Behavior Advantage implementation varies across schools.
The School Summary breaks organization-wide metrics down by school. For each school, leaders can review:
- Total
- FBA with BIP
- Simple BIP
- CICO
- Active Frequency and Duration Data
- Active CICO with Data
For Behavior Supports, the table also displays # Created, # Active, and # Completed.
This view can help leaders compare patterns across schools and identify differences in how Behavior Advantage is being implemented.
Click a school name to access additional information and Behavior Supports for that school.
School-level differences should be interpreted within context. Differences in enrollment, student needs, staffing, program structure, or the types of supports provided may all influence the numbers displayed.
Interpreting the Usage Summary
It is recommended to look for patterns across metrics rather than relying on any single number.
For example, comparing Active user accounts with Users active in the last 30 days can provide context about staff adoption. Looking at supports created and active alongside Students with data collected can help leaders explore whether implementation is extending beyond creating plans to ongoing progress monitoring.
Similarly, school-level comparisons may help identify where implementation looks different and prompt questions about training, workflows, staffing, or support needs. Differences between schools do not necessarily indicate stronger or weaker implementation on their own.
It is recommended that these metrics be used as conversation starters rather than standalone measures of implementation quality. School context, staff roles, student needs, and local implementation expectations should all be considered when interpreting the Usage Summary.
