Tracker: Multiple Staff Data Entry
Learn how multiple staff members can safely enter data into Student Trackers and Group Trackers throughout the day while preventing accidental data loss or overwritten entries.
Behavior Advantage allows multiple staff members to enter data for the same student or Group Tracker throughout the school day.
Previously saved scores are automatically displayed, allowing each staff member to add data for their assigned class period, activity, or interval without re-entering existing information.
This supports collaborative data collection across classrooms, service providers, specialists, and other staff while maintaining a single shared data record.
Best PracticesTo help protect your data when multiple staff members are entering data throughout the day:
Save Frequently
Click Save after entering scores or comments before navigating away from the data entry screen.
Refresh Before Continuing
If you leave a Pointsheet or Group Data Entry page open and later return to continue entering data, refresh your browser before making additional changes. This ensures you are viewing the most current version saved by other staff members.
First Staff Member Entering DataThe first staff member entering data for the day should:
- Open the Student Tracker or Group Tracker.
- Click Enter Data (or Enter Group Data for Group Trackers).
- Select the desired date.
- Click Create New Pointsheet if one has not already been created.
- Enter scores for the assigned class period, activity, or interval.
- Add comments, if needed.
- Click Save.
Subsequent staff members should:
- Open the Student Tracker or Group Tracker.
- Click Enter Data or Enter Group Data.
- Open the current day's Pointsheet by either:
- Clicking Create New Pointsheet, or
- Selecting today's date from the Data History table.
- Previously saved scores will automatically be displayed.
- Enter scores only for the remaining class periods, activities, or intervals.
- Click Save.
If another staff member saves changes after you have opened the Pointsheet or Group Data Entry page, Behavior Advantage will display a warning message when you attempt to save.

This warning indicates that a newer version of the data has already been saved.
Refresh your browser to load the most recent data before entering or saving additional scores or comments.
Why This HappensWhen multiple staff members have the same data entry page open simultaneously, each person is viewing a snapshot of the data from the moment the page was opened.
If another staff member saves changes before you do, your page will no longer contain the latest information. Refreshing the page loads the newest saved data and helps prevent accidentally overwriting another staff member's work.
TroubleshootingPreviously entered scores are missing.
- Refresh the page to load the latest saved data.
- Verify that the correct date is selected.
I received a warning when saving.
- Another staff member has already saved changes.
- Refresh the page before continuing.
Multiple staff need to collect data throughout the day.
- This is fully supported. Each staff member can enter data for their assigned class period or interval and save their work before closing the page.
